Demo · Rebate Desk · Claim Day

You earned the rebate. The paperwork decides if you get paid.

Every supplier program has its own form, its own deadline and its own proof. Rebate Desk reads your invoices, fills each program’s paperwork the way that supplier wants it, checks every line the way the supplier will, and lines it up for one named person to sign.

Each supplier wants its own paperwork: a portal CSV, a workbook, an 844-style claim file, a co-op form with proof, a POS file, a buying-group form. Press Run month-end and watch every one fill itself from Meridian’s invoices, purchases, POS and credits, then get checked line by line the way that supplier will check it.

The controller’s strip

Where every dollar stands.

Each tile filters the workbench below. “Found” overlaps “ready” on purpose: it is the part of the ready money that would have been missed.

Step 2 · the workbench

Would be rejected, and why.

Every package in the supplier’s own layout, the raw file, the proof attached, and the clause each rule came from. Each finding says what is wrong in plain words, the money it touches, and the one fix. A fix that changes a claim waits for a person’s click, except two deterministic ones (unit conversion and space share) that apply themselves and can be undone.

Step 4 · the human release

Automatic up to the signature.

The desk prepares, fills, checks and queues. A named person releases every package that certifies facts to a supplier or moves money, within the limit your own rules set. Release stages the file for you to upload to the supplier’s portal or hand to your EDI provider. No bot logs into a supplier portal, nothing writes to your ERP, nothing is deducted.

One more program · price protection

The supplier cut its price. Who counted the shelf that day?

HCY-PD-2026-10: Halcyra (fictional) lowered net cost on three end mills effective 2026-10-01. It credits the difference on eligible stock on hand the day before, if the claim with the count by location arrives within 30 days. Nobody counted the Valley branch, a South count still included a shipment that went out, and the draft used the list-price change. The desk fixes all of it before anything is sent.

The program, as transcribed (fictional)

When Halcyra lowers a distributor net cost, it credits the difference between the old and the new net cost on eligible stock on hand at the close of business the day before the effective date.
Eligible stock was bought directly from Halcyra within 90 days before the effective date. Consigned stock and stock bought through a master distributor are excluded.
Claims, with the on-hand snapshot by location, must reach Halcyra within 30 days after the effective date. If day 30 is not a business day, the claim is due the prior business day.

Rule: Credit = (old net − new net) × eligible on-hand at the effective date; direct purchases inside 90 days only; snapshot by location; within 30 days.

Draft keyed from the Oct 3 on-hand report: every lot, the South count before the Sep 30 shipment, and the 1/2 in. credit from the list-price change ($9.60) instead of the net-cost change ($6.40).

Phase 2 · your own month, sealed

Drop one month of invoices. See what is still claimable.

An invoice export and a short list of your supplier programs (supplier, type, window days). The desk reads both in this tab and shows, per program, what is claimable, what closes this week, what already closed, what has no agreement number and what looks like a rebill. What each supplier owes per line comes from the agreements, which we transcribe with you at setup; a sales export alone cannot say, and the result tells you so.
